1 App Overview: Understanding the Notepad Pro Interface
Header Bar
Contains the app logo, theme switcher (Default / Dark / Blue / Green), keyboard shortcut button, and fullscreen toggle.
Stats Bar — Your At-a-Glance Dashboard
Six live counters update automatically: Total, Archived, Favorites, Voice, Important, and Unique Tags. These give you instant visibility into your entire note library.
Quick Add Panel
Capture a note in one field. Select a Category and Folder with the pill buttons beneath, then press Enter or click Add Note.
Main Notes Area with Tabs
Switch between All, Today, Week, Month, Favorites, Archive, and Stats tabs. The All tab includes six different view modes and full filtering controls.
2 How to Add a Quick Note Instantly Using the Fast-Capture Panel
Click inside the Quick Add text field
The large input at the top of the Quick Add panel labelled "Quick note… (press Enter to add)". Begin typing your note title or the entire note text.
Select a date (optional)
The date field defaults to today. Click it to open a date picker and choose a future due date if needed.
Choose a Category by clicking a pill button
Pick one of: Normal Important Trivial Idea. The active button turns blue.
Choose a Folder
Select Inbox, Work, Personal, or Projects. The note will be filed there automatically.
Press Enter or click the blue "Add Note" button
A green success toast will appear at the top-right confirming the note was saved. The note list refreshes instantly.
3 Creating a Detailed Note with Rich Formatting, Tags, Priority & Colour

Scroll to the "Detailed Note" panel and enter a Title
The Title field is the only required field. Use a clear, descriptive name — this is what you will search for later.
Write rich content using the formatting toolbar
Click inside the content area and use the toolbar buttons: B (bold), I (italic), U (underline), bullet lists, numbered lists, and hyperlinks. All formatting is preserved when the note is saved.
Add Tags by typing in the Tags field and pressing Enter
Each tag appears as a coloured pill. Click the × on any pill to remove it. Tags are comma-separated in search and the Stats tag cloud.
Click a colour swatch to set the note's background colour
The active swatch shows a blue ring. Choose from white, red, yellow, green, blue, purple, or pink. This colour appears behind the note in all views.
Click the green "Add Note" button to save
The form resets automatically and the new note appears at the top of the list. The Stats Bar counters update immediately.
4 How to Record a Voice Memo and Attach It to Any Note
Allow microphone access in your browser
When you click the red microphone button for the first time, your browser will ask for permission. Click Allow. If you accidentally clicked Block, go to your browser's site settings and toggle microphone access back on.
Click the red microphone button to start recording
A pulsing REC indicator and a wave animation confirm recording is active. A live timer counts up in MM:SS format.
Click the stop button (same button, now showing a square) to end recording
An audio player appears below the microphone area. Click play to preview your memo before saving.
Save the note — the voice memo is attached automatically
A microphone icon 🎙 appears next to the note title in the list. The Voice counter in the Stats Bar increments.
5 Setting Alarm Reminders and Recurring Notifications That Actually Fire

Fill in the "Reminder" field in the Detailed Note form
Click the Reminder datetime field. Your browser opens a date-and-time picker. Select the exact date and time you want the alarm to fire.
Optionally set a Recurring interval
Choose Daily, Weekly, Monthly, or Yearly from the Recurring dropdown. After each alarm fires, the next reminder is auto-calculated and scheduled — you never need to reset it manually.
Keep the browser tab open for alarms to work
The reminder checker runs every 10 seconds inside the browser tab. If the tab is closed, alarms will not fire. For desktop notifications, allow notification permission when the browser prompts you at launch.
6 Six Powerful View Modes: List, Grid, Board, Timeline, Calendar & Mind Map
To switch views, click the icon buttons in the toolbar row directly above the notes list. The active view is highlighted blue.
7 Searching, Filtering & Sorting Your Notes for Instant Retrieval
Type in the search bar and press Enter or click Search
By default the search scans all fields — title, content, and tags. Start typing and the results refresh live as you clear the field.
Narrow using Search Filter pills
Below the search bar, click a pill to restrict results: Title (name only), Content (body text only), Tags (tag labels only), Favorites (starred notes only), or Voice (notes with a voice memo).
Use the filter dropdowns to narrow by Folder, Category, and Status
In the toolbar row above the notes list, use the four dropdowns: All Folders, All Categories, All Status (Active / Archived), and Sort By (Newest, Date, Title, Priority).
8 Organising Notes Efficiently with Tags, Folders, Priorities & Favourites
Use Tags for cross-folder topics
Tags work across folders and categories. A note in Work folder tagged client-x and a note in Personal tagged client-x can both be found with one tag search.
Star important notes for quick access
Click the ★ icon on any note row to toggle its Favorite status. Starred notes appear in the Favorites tab and increment the Favorites counter in the Stats Bar.
Adjust Priority with the 1–5 slider
Set priority 5 for urgent notes. Then switch the sort order to By Priority in the Sort By dropdown — your most critical notes float to the top.
Use Templates to save re-used note structures
Fill in the Detailed Note form with your standard structure (e.g. a meeting notes template), then click Templates → Save Current Form as Template. Next time, open Templates and click Use to pre-fill the form instantly.
9 Editing, Archiving, Duplicating & Deleting Notes Safely
Click the ✏ edit icon (or click anywhere on a note row) to open the Edit Modal
The modal overlays the page with all note fields editable: title, content, category, folder, date, reminder, tags, colour, status, and favourite flag.
Click "Save" in the modal footer to confirm changes
Changes are written to local storage immediately. The notes list refreshes behind the modal.
Archive instead of delete to keep a history
Click the 🗄 archive icon on a note row (or set Status to Archived in the edit modal). Archived notes move to the Archive tab and no longer appear in All / Today / Week / Month tabs. Unarchive at any time by clicking the same icon again.
Use "Duplicate" to clone a note as a new starting point
In the edit modal, click Duplicate. A copy is created with " (Copy)" appended to the title. Edit the copy independently.
Bulk-select notes with the checkboxes for mass actions
Tick the checkbox at the left of each note row to select it. Then use the Archive, Delete, or Merge bulk action buttons in the toolbar.
10 Backup, Export & Import: Keeping Your Notes Safe Across Sessions
Click the 💾 Backup button to snapshot your current notes
Creates a timestamped backup stored in your browser's local storage. Use this before making large edits or bulk deletions.
Click the ⬇ Export button to download a JSON file
Saves all notes and templates to a np-export-YYYY-MM-DD.json file on your device. Store this file in cloud storage (Google Drive, Dropbox) for true off-device backup.
Click ⬆ Import to reload a previously exported JSON file
Select your saved .json file. Imported notes are merged with existing notes (not replaced), so you won't lose current work during an import.
Click 🕐 Restore to roll back to the latest in-browser backup
Prompts a confirmation showing the backup timestamp, then replaces current notes with the backup snapshot. This is a full rollback — any notes added after the backup was created will be lost.
11 Customising Themes & Appearance: Default, Dark, Blue & Green Modes
Click any theme button in the header bar to switch instantly
Default — clean blue and white. Dark — deep navy with purple accents, ideal for low-light environments. Blue — bright sky-blue primary. Green — teal-green primary for a fresh look.
Use the fullscreen toggle (⛶) to remove browser chrome
Click the ⛶ icon in the top-right of the header to enter fullscreen mode, hiding the browser toolbar for a distraction-free writing environment. Press Esc or click again to exit.
